How to Fill in the Form 16 Excel Sheet
- Part B, top: choose the tax regime and the age category.
- Gross salary: enter salary under Section 17(1) (basic, DA, HRA, allowances, bonus), perquisites under 17(2) from Form 12BA, and any profits in lieu of salary under 17(3).
- Exemptions: enter HRA, LTA and other old-regime exemptions. Use the "both regimes" row only for exemptions such as gratuity or leave encashment on retirement. Work out HRA with our HRA exemption calculator.
- Section 16: the standard deduction fills itself. Enter professional tax (old regime) and entertainment allowance (old regime, government employees only).
- Other income: enter home loan interest on a self-occupied house (old regime, up to ₹2 lakh) and any other income the employee declared.
- Chapter VI-A: enter 80C, 80CCD(1B), 80CCD(2), 80D and others. The sheet applies the caps and the regime rules.
- Section 89 relief: if salary arrears were paid, enter the relief worked out in Form 10E.
- Part A: enter quarter-wise salary paid and TDS deducted and deposited. The total flows into Part B as "TDS deducted".
- Read the net tax payable and the balance. A minus figure means excess TDS that the employee can claim as a refund in the ITR.
Worked Example: ₹15 Lakh Salary, New Regime
The download comes filled with this example, so you can see how each line works before entering your own figures:
| Line in Part B | Amount |
|---|---|
| Gross salary (17(1)) | ₹15,00,000 |
| Standard deduction | ₹75,000 |
| Income under "Salaries" | ₹14,25,000 |
| Tax (₹20,000 + ₹40,000 + ₹33,750) | ₹93,750 |
| 87A rebate | Nil (income above ₹12 lakh) |
| Cess at 4% | ₹3,750 |
| Net tax payable | ₹97,500 |
| TDS deducted (Part A: 4 × ₹24,375) | ₹97,500 |
| Balance | Nil |
The same employee in the old regime with HRA exemption of ₹1,20,000, 80C of ₹1,50,000, 80D of ₹25,000, professional tax of ₹2,500 and home loan interest of ₹2,00,000 on a ₹12 lakh salary would pay ₹44,720. Switch the regime in the sheet to compare. For a side-by-side view, read old vs new tax regime with examples.
